Below you will find key speaker information to help you prepare for INVOLVE 2025.
INVOLVE 2025 Theme
INVOLVE 2025 is centred on our theme of ‘Kotahitanga – Weaving Cohesion in the Youth Development Sector’.
It is your opportunity to sell your story, so embrace creativity and bring your topic to life for your audience!
Please note you have 75 minutes total for your workshop, which includes Q&A or interactive activities within this time
Session Style: Workshops are designed to be interactive. Please plan for participant engagement through discussion, hands-on activities, or small group work.
Timing: Please keep to your allocated time so sessions run to schedule. A volunteer will give you a time cue when you’re nearing the end.

Bealey Rooms 1 - 5, are located on the ground floor, and Conway Rooms 1 - 5 are located on level 1.
Room Setup
Workshop Room Set-Up – Banquet Style
Te Pae Christchurch Convention Centre
All workshop rooms will be set in banquet style, with round tables seating 10 per table. This setup promotes a more engaging atmosphere, ideal for discussion and networking throughout the sessions.
Conway Rooms (Level 1)
Conway 2 – approx. 50 pax (5 tables)
Conway 4 – approx. 80 pax (8 tables)
Conway 5 – approx. 80 pax (8 tables)
Bealey Rooms (Ground Floor)
Bealey 1 – approx. 30 pax (3 tables)
Bealey 4 & 5– approx. 90 pax (9 tables)
Registration
All presenters must be registered for the full conference or the day they are presenting. Please ensure you are registered. If you are still to register, click on the below link to register.
What’s Available to You as a Presenter in the Room
As a workshop presenter, the following equipment and support will be available in the room:
Audio Visual: Data projector and screen, lectern with microphone, and a handheld microphone (this can be shared amongst presenters), as well as a clicker to advance your slide.
Internet Access: Wi-fi will be available for presenters and delegates.
Support Staff: An AraTaiohi team member will be onsite to support you
Technical Support: A technical support person (shared amongst rooms) will be available if you should require assistance.
If you have any additional requirements or questions ahead of time, please don’t hesitate to get in touch — we’re here to help you have a smooth and successful presentation!
Please note: Te Pae Christchurch Convention Centre does not allow any items to be affixed to the walls.
Presenter Tips and Best Practices
1. Start strong
Welcome everyone, introduce yourself, and give a quick overview of what to expect. A short icebreaker can help ease people in and create a relaxed atmosphere.
2. Set the tone
Create a warm, inclusive space. Encourage participation, invite questions, and acknowledge different perspectives.
3. Make it interactive
Workshops work best when they’re collaborative, not a lecture! Include group activities, discussion, or hands-on elements to keep energy high.
4. Keep it focused
Stick to a few key takeaways. It’s better to go deep on a few points than to rush through too much. Aim for clarity and impact.
5. Use visuals effectively
If using slides, keep them simple and visual. Diagrams, images, and examples work well—try to avoid slides that are heavy with text.
6. Be mindful of time
Keep an eye on the clock and build in time for interaction and wrap-up. If needed, you can always share additional resources afterwards.
7. Stay flexible
If something’s not working or the energy shifts, don’t be afraid to adapt. The best sessions often respond to the room.
8. Bring what you need
If you have materials, handouts, or props, be sure to bring them along. There is limited ability to print onsite at the venue.
10. Enjoy it!
Your passion and enthusiasm are contagious. Enjoy the experience—you’ve got something valuable to share.

Once you have created your presentation slides / PowerPoint, please upload it here to be transferred to the audio visual team. It is recommended to also bring a file to the conference as a back up.
Conference Presenter Checklist
Before INVOLVE
Check the date, time, and room of your session
Ensure you are registered for the Conference
Submit biography (if not already provided)
Upload your presentation slides to the AV portal by Friday 01 August
Bring a backup copy of your presentation on a USB or portal device
Prepare your talk to fit the allocated time
Practice your presentation aloud (ideally with a timer)
On the Day
Arrive at least 15 minutes before your session
Check in with the AV team and session chair
Ensure your presentation is correctly loaded and working
Bring any notes, props as needed
Have a glass of water ready
Speak clearly and keep an eye on the time
Engage with the audience – eye contact, body language, pauses
Stay for Q&A if applicable
